Privacy Policy

Checkmate collects only the information needed to run the workspace, support collaboration, deliver reminders, and provide AI planning. This page explains what we collect, how we use it, and what choices you have.

Overview

This Privacy Policy describes how Edge Case LLC collects, uses, discloses, and protects personal information when you use Checkmate, including the website, web application, and related services.

By using Checkmate, you also agree to our Terms of Use.

Information We Collect

We collect information in the following categories:

  • Account and profile information, such as your name, email address, avatar, authentication provider details, and account preferences.
  • Workspace content you create or upload, including goals, projects, tasks, comments, attachments, reminder settings, invitations, collaborator details, and uploaded icons.
  • AI planning data, including prompts you submit, selected workspace context, model responses, usage counts, and token or rate-limit metadata used to operate and monitor the feature.
  • Payment and subscription information, such as purchase status, subscription state, transaction references, and plan entitlements from Apple In-App Purchase or Stripe.
  • Technical and session information needed to keep the service working, such as authentication cookies, session tokens, browser notification permission state, and security or error logs.
  • Limited browser-side storage used for convenience features. For example, remembered sign-in choices, local reminder delivery state, and the personal home-view notepad are stored in your browser on the device you use.

How We Use Information

  • Process payments and manage subscriptions for Pro plans.
  • Provide, maintain, secure, and improve the service.
  • Authenticate users and keep accounts signed in.
  • Create and manage projects, tasks, shared workspaces, reminders, notifications, and file access.
  • Send transactional emails such as magic links, invitations, task assignments, and reminder emails.
  • Generate AI planning drafts and monitor AI usage, abuse, and reliability.
  • Respond to support requests, legal obligations, and security incidents.

AI Planner and OpenAI

AI Planner uses OpenAI as a third-party AI model provider. Before an AI Planner request is sent, Checkmate asks for your permission in the app and explains that the request may include your typed prompt, selected project or team context, task and subtask details, chosen clarifying answers, prior draft content, and related workspace context needed to generate or revise a plan.

We send this information to OpenAI only to provide the AI Planner feature, monitor reliability, prevent abuse, and improve the quality of Checkmate. Do not include sensitive information in an AI Planner prompt if you do not want that information processed by OpenAI.

We use service providers, including OpenAI, under terms that require them to protect personal information and use it only to provide services to us in a manner consistent with this Privacy Policy.

How Information Is Shared

We share information only when needed to operate the service:

  • With authentication providers such as Google, Apple, and email login providers to sign you in.
  • With payment and subscription providers such as Apple In-App Purchase and Stripe to process purchases, restore transactions, and manage plan status.
  • With service providers that help us operate Checkmate, including hosting, database, storage, email delivery, and AI model providers such as OpenAI when you use AI Planner.
  • With other users you authorize through shared teams, projects, invitations, assignments, comments, and attachments.
  • If required for legal compliance, fraud prevention, security, or a business transfer such as a merger, acquisition, or asset sale.

We do not sell personal information and we do not use Checkmate to run cross-site behavioral advertising.

Cookies, Local Storage, and Do Not Track

Checkmate uses cookies and similar technologies that are necessary to sign users in, keep sessions active, and protect the service.

We also use local browser storage for convenience and device-specific features, including remembered sign-in choices, local reminder state, and the home-view notepad. That browser-side information stays on the device unless you clear it.

Because Checkmate is not designed to track users across third-party websites for behavioral advertising, browser Do Not Track signals do not change how the service operates.

We do not knowingly allow third parties to collect personal information through Checkmate for their own cross-site behavioral advertising purposes.

Retention and Security

We keep information for as long as reasonably necessary to provide the service, maintain security, meet legal obligations, enforce our agreements, and resolve disputes.

We use reasonable administrative, technical, and organizational safeguards, but no method of transmission or storage is completely secure. You should also protect your own account credentials and devices.

Your Choices

  • You can update much of your workspace information directly in the app.
  • You can remove remembered sign-in choices from the sign-in screen on a given device.
  • You can manage notification permissions through your browser or device settings.
  • You can decline AI Planner data sharing by leaving the AI Planner permission checkbox unchecked. If you decline, Checkmate will not send that AI Planner request to OpenAI.
  • Signed-in users can delete their account from the in-app settings menu.
  • To request access, correction, or deletion of information you cannot change yourself, email [email protected].

Children's Privacy

Checkmate is not directed to children under 13, and we do not knowingly collect personal information from children under 13.

Changes To This Policy

We may update this Privacy Policy from time to time. If we make a material change, we will update the effective date on this page and may provide additional notice inside the product or by email.
